Privacy Policy
Friends Resilience Pty Ltd (FR) (ACN 112 233 566) is committed to ensuring the security and confidentiality of any personal information shared by users of this site and the Friends Resilience Portal (FRP). This Privacy Policy outlines how FR protects personal information shared through this site and the FRP and how such information is used to carry out the services provided by FR and use of the FRP.
By providing your personal information and continuing to use this site and the FRP, you consent to your personal information being collected, stored, used and disclosed in accordance with this Privacy Policy.

Personal Information
'Personal information' referred to in this Privacy Policy consists of:

Authorised user of the FRP (including Licensees and Accredited Assistant or Facilitator):
  • First name
  • Last name
  • School/organisation
  • Address of school/organisation
  • Contact details (email and telephone)
Participants of FRIENDS Programs:
  • Country
  • Primary email address and secondary email address (parent or guardian of a child undertaking the Programs)

Payment Information
We do not store payment details. Online payments relating to the services provided by FR through the use of the FRP are processed either via PayPal or Internet banking. Payments via PayPal are safe guarded inline with PayPal’s privacy policies. Please refer to PayPal for further information.

Collection and Use of Personal Information
FR collects personal information when you register as a user of the FRP.
Authorised users of the FRP are required, after delivering FRIENDS training to enter information about participants including the personal information outlined above. FR assumes the provision of personal information in relation to participant details from authorised users, including but not limited to educational institutions, government organisations and private enterprise is authorised unless otherwise notified.

FR may use personal information to carry out its business operations in relation to the FRP including:
  • To provide training services
  • To maintain accurate records of training requirements
  • To administer training resources and materials
  • If notification of changes and updates to our services is required
  • For record keeping purposes
  • For reporting and data analysis purposes
  • To respond to an enquiry by users of the FRP
Personal information collected by FR is not sold to external agencies and is not used for marketing purposes.

International Transfer of Personal Information
If you are using this site and the FRP outside of Australia, you consent to the transfer of information across international boundaries.

Storage and Disclosure of Personal Information
All personal information collected by FR is held in the FRP. The FRP is a secure database solely owned by FR.

Personal information may be disclosed to persons outside of FR where:
  • As an authorised user, you have consented to the use or disclosure of personal information;
  • Where FR reasonably suspect that illegal activity has occurred, is being carried out or may be engaged in and the use or disclosure is a necessary part of an investigation by FR; or
  • Where such use or disclosure is required by law; and
  • FR retains the services of a third party to maintain, repair or improve its site and the FRP. You consent to not hold FR liable for any unlawful actions by any third party and you will take legal action against any third party directly.

We use encryption and authentication procedures to ensure the security of personal information held in the FRP database and to protect against unauthorised access.
Access to the FRP requires registration, which involves the provision of a username and password for your privacy and security. Authorised users and training participants are responsible for maintaining the security of usernames and passwords at all times. All passwords saved in the FRP database are encrypted.

Friends Resilience production services are hosted on Amazon Web Services’ (“AWS”) EC2 platform. The physical servers are located in AWS’s secure data centers. From Amazon’s documentation:
AWS has achieved ISO 27001 certification and has been validated as a Level 1 service provider under the Payment Card Industry (PCI) Data Security Standard (DSS). We undergo annual SOC 1 audits and have been successfully evaluated at the Moderate level for Federal government systems as well as DIACAP Level 2 for DoD systems.

All user content is stored within Asian Pacific (Sydney) region of AWS. Friends Resilience's production environment is hosted on an AWS EC2 platform. User content can also be found in backups, stored in AWS EC2 and Relational Database Service. We do not offer customers the option of hosting the Friends Portal on a private server, or to otherwise use Friends Portal on a separate infrastructure.

Access to Personal Information
At all times, as an authorised user of the FRP you have access to personal information held by FR. FR takes reasonable precautions to ensure personal information collected, held and used is accurate. FR encourages the correction of personal information by you to ensure records are up to date and accurate. FR has permission to update FRP user information unless otherwise advised.

Cookies are small text files that are transferred to your computers hard drive through your web browser from our server. FRP use cookies that remain on your device for 2 hours to maintain the session of the user, in order to let the user browse the website without the need to login again during the session. FRP users can choose whether or not to accept cookie by changing the settings of their browser.

Amendments to the Privacy Policy
FR reserves the right to amend this Privacy Policy at any time. FR encourages authorised users to regularly review this policy for up to date information on our privacy practices.

Intellectual Property Rights
Intellectual Property Rights includes all present and future rights in relation to copyright, trade marks, designs, patents, trade, business or company names, domain names, software or other proprietary rights, or any rights to registration of such rights whether existing in Australia or otherwise.
The Friends Resilience Portal service and site including but not limited to, text materials, graphics, video clips, illustrations and logos, user manuals and activity books, templates, look and feel and control of the site are owned by Friends Resilience Pty Ltd and subject to copyright and other intellectual property rights under Australian and international laws. Friends Resilience Pty Ltd grants you the right to view and edit user content as per terms of use only and agree that Friends Resilience Pty Ltd reserves all other rights. You agree to not use the Friends Resilience Portal service and site to copy, distribute or transmit any user content or commit an act that in anyway whatsoever infringes Friends Resilience Pty Ltd intellectual property rights.

Facilitator Undertaking Policy - Updated at 3rd of January 2018

Undertake to FRIENDS Resilience Pty Ltd ACN 112 233 566 that:
  1. I will, in good faith, comply with all terms and conditions legally requested by FRIENDS Resilience in relation to the FRIENDS Programs including but not limited to the terms set out in this document.
  2. I will adhere to the structure of the FRIENDS Programs (including but not limited to Fun FRIENDS, FRIENDS For Life, My FRIENDS Youth and Adult Resilience) (“Programs”) and I will deliver each of the Programs in sequence, from the first to the final session in full completion of each program.
  3. As a FRIENDS Facilitator, I understand that I am required to lawfully purchase a manual per Program delivered and access only authorised versions of the FRIENDS Resources.*
  4. One new authorised copy of the activity book will be obtained for and provided to each participant for the Program they are participating in. The activity books CANNOT BE RE-USED, by different participants or shared between participants. Each activity book is to be kept by the participant as a private record of the skills learnt.
  5. Photocopies, PowerPoints and handouts are NOT authorised for the replacement of the FRIENDS activity books.
  6. If the Programs are being undertaken without purchasing an activity book per participant, I am liable to pay to FRIENDS Resilience, AUD $5 per participant (child/adult) and AUD $5 per Facilitator (group leader) participating in the Programs.
  7. I acknowledge that I am only accredited to deliver the FRIENDS Programs for a period of three years from the date I am trained as a Facilitator and that I am only accredited to deliver the Programs in which I am trained. I must retrain every three years to continue to use the FRIENDS Programs.
  8. I will not unlawfully distribute, copy, video/film or modify the Friends Resources, Training slides or access to the Friends Resources under any circumstances.
  9. I understand and agree that Facilitator Training does not give me the right nor ability to train other facilitators, and that I require a licence agreement with Friends Resilience prior to training facilitators AND/OR delivering the Friends Programs on a commercial basis.
  10. I understand and agree that my accreditation automatically expires if I leave the employment of the licensed organisation under which I was trained and if I intend facilitating the FRIENDS Programs I must obtain my own License. I further understand that I cannot use the FRIENDS Programs in any capacity until this process is complete.
  11. I understand that I will require a licence agreement with Friends Resilience prior to conducting any research using the FRIENDS Programs.
  12. I agree to this document being kept by FRIENDS Resilience and understand it may be used as evidence of my commitment to FRIENDS Resilience and the correct delivery of the FRIENDS Programs.
  13. I acknowledge that FRIENDS Resilience retains Intellectual Property rights of the FRIENDS Programs and the FRIENDS Resources.
  14. If I become aware of any unauthorised use of the FRIENDS Resources and/or FRIENDS Training I will immediately alert Friends Resilience in writing by email to director@friendsresilience.org
  15. I understand that I may be prevented from delivering the FRIENDS Programs, should I fail to adhere to my undertakings, as above stated and any breach may incur legal penalties and damage costs.
  16. * For the purposes of this Agreement, the phrase “FRIENDS Resources” includes and is not limited to the Facilitator Guide and Activity book for Fun FRIENDS, FRIENDS For Life, My FRIENDS Youth and Adult Resilience in both manuscript and digital format, as well as any auxiliary PowerPoint Slides, resources and materials.
